Understanding how to continue operating during an internet outage.

Summary

Oolio Platform is a cloud-based product, meaning the POS is required to be connected to the internet within the venue to operate at full functionality.

In saying this, the POS can still operate without the internet but with limited functionality.

This article will cover what to do in case of an internet outage as well as what not to do.


Entering Offline Mode

Within the POS, a heartbeat line icon is displayed at the top right of the screen with a green dot indicating the POS is connected to the internet.

If the device disconnects from the internet a message will display across the top of the screen with the following 'No Internet Connection' as well as a prompt appearing across the entire screen.


What To Do In Offline Mode

Oolio Platform is designed to ensure smooth operations even when offline. Here’s what is still possible while the system is not connected to the internet:

Place Orders

  • Orders can be placed and updated, but only on a single device.

  • Avoid switching between devices; stick to the same one until the system is back online.

  • The following screens will remain accessible:

    • Open Orders

    • Menu Screen

    • Floor View

    • Payment Screen

Process Payments

  • Accept Cash payments and other manual payment types via the Function Buttons or Payment screen.

  • Record Card Payments that are taken on standalone terminals as a Manual Payment type (e.g. Manual EFTPOS) to simplify reconciliation later.

Print Receipts and Open Cash Drawers

  • Kitchen printing will continue as long as the local network is active.

  • Customer receipts can still be printed.

  • The cash drawer will open as usual.

Perform Floor View Operations

  • Manage table orders with operations like Transfer and Merge Orders—but only on the same device.


Limitations of Oolio POS in Offline Mode

While Oolio POS retains core functionality during Offline Mode, some actions require an internet connection to operate. The following functions will not be available when the system is offline:

Payment and Order Limitations

  • Processing Integration Payments. These must be recorded using a manual payment type.

  • Placing orders on Customer Accounts.

  • Accessing Order History beyond what is already synced.

Staff and Shift Management Limitations

  • Clocking in or out of shifts.

  • Completing or viewing End of Day Shift reports.

Loyalty and KDS Limitations

  • Accruing or redeeming Oolio Loyalty Points.

  • Displaying dockets on the KDS device.

Online Ordering and Integrations

  • Receive orders from Oolio Online Ordering & KIOSK

  • Receive orders from Oolio order manager for integrations (UberEats & DoorDash)

Oolio POS Offline Mode is designed to provide key operational functionality, but full system capabilities will resume once the internet connection is restored. For further support, contact our support team on 1300 166 546.


Managing Online and Delivery Orders Offline

Disabling Online and QR Code Ordering

Online and QR code orders cannot be received while offline. Temporarily disable these features via Backoffice settings using a mobile hotspot or contact OOLIO Support.

Handling UberEats and DoorDash Orders

Track UberEats and DoorDash orders using their Order Apps. These orders will sync automatically once the connection is restored, ensuring accurate reporting.
